Employees and training

Invite your team, assign HIPAA 101 and Cybersecurity Awareness, track completion, and send reminders (Step 5).

If you look down the menu on your left, you'll find Employees. That's where you land on Employee Management, and it's where you invite your team to the platform so they can complete their training. You'll see yourself in the list too.

Invite an employee

  1. Open the invite

    Click the blue Invite Employee button in the upper right.

  2. Send the invitation

    Enter the employee's Full Name and their work Email Address, then hit Send Invitation. You'll see "Invitation Sent!"

  3. They finish onboarding

    Your employee gets an invitation email with a secure link. They open it, create their account, and answer a short questionnaire about the device they use for work.

  4. They appear in your list

    Once they finish, they show up in Employee Management, and their device shows up in your Data & Device Audit.

Assign training and policies

  1. One person: click their row, then Assign Training & Policies. Several people: set your filters, tick Select All, then click Assign Training & Policies.
  2. Tick HIPAA 101, Cybersecurity Awareness, and/or Assign all HIPAA policies.
  3. Click Assign.

Employees get a "Training Assigned" email and see their assignments the next time they sign in. Anything already assigned is skipped.

The training modules

There are two modules, HIPAA 101 and Cybersecurity Awareness. Each is an 18-slide deck followed by an 8-question quiz.

There are no videos or timers, and retakes are unlimited. Both modules are due every year. When an employee finishes Cybersecurity Awareness, the Privacy Officer email in Settings gets a "Training Complete" notice. What your team sees: Taking your training.

Track progress

You can now track everyone's progress and send reminders right from the platform.

  • One person: click their row, then View Progress for training dates, due dates, and assigned policies.
  • Everyone, for your records: on the Employees page, click Training Records (just left of the Invite Employee button). You can download a CSV at the top, or review person by person below. It shows what's still outstanding and the exact date and time of every completed training and policy signature. This is the record you produce if you're ever audited.

Send reminders

  • Send Reminder emails the employee a list of everything still outstanding.
  • Request Signature (on the Confidentiality Agreement card, when it says Not on file) asks them to sign the workforce Confidentiality Agreement.
  • Re-send Invite resends their invitation email.

The portal also emails each employee automatically when their training comes due again each year.

Edit, archive, and departments

  • Edit Employee updates title, department, status, type, phone, and location. Name and email changes here update the portal record only, not the person's sign-in email.
  • Archive marks someone inactive and hides them from the default view (filter by Inactive or All Statuses to find them). Reactivate brings them back. There's no delete button.
  • Departments: sidebar Employees > Departments > Create Department. Assign people with Edit Employee. Departments can't be renamed; delete and recreate instead.
