Knowing which channel to use, when to expect a reply, and how to surface blockers quickly keeps your engagement on track and ensures nothing falls through the cracks. Preferred Channels

Each channel serves a specific purpose. Matching your message to the right channel means faster responses and a cleaner record of decisions.

Email

Video Call

Best for: Kickoff meetings, milestone reviews, feedback walkthroughs, and decisions that benefit from real-time discussion.Scheduling: Use the booking link shared during onboarding to reserve time on the calendar.

Project Tracker

Best for: Task-level updates, leaving comments on specific deliverables, flagging blockers, and tracking open action items.Access: You receive an invitation to the shared project tracker at the start of every engagement.

Email

Email is the primary channel for async communication. Use it to ask questions, share reference materials, request meetings, confirm decisions, or follow up on anything discussed in a call. Every email gets a written response, so your project maintains a full paper trail without extra effort on your part.

Video Calls

Schedule a video call for conversations that would take more than a few back-and-forth emails to resolve — things like reviewing a complex deliverable, aligning on a scope change, or running the formal project kickoff. Calls are typically 30 or 60 minutes. Come prepared with an agenda or a list of questions so you get the most out of the time.

Project Tracker

The shared project tracker is the single source of truth for task status. Leave comments directly on tasks when you have feedback tied to a specific item. This keeps context attached to the work rather than buried in an inbox, and it makes it easy to see what’s open, in progress, and complete at a glance.

Response Time Expectations

Response times apply during standard business hours. Messages received outside those windows are addressed on the next business day.
Availability: One Guy Consulting is available Monday through Friday, 9 am – 6 pm in the US Eastern timezone. Messages received on weekends or public holidays will be responded to on the following business day. If your project has a time-sensitive deadline that falls near a holiday, flag it in advance so the timeline can be planned accordingly.

Communicating Blockers and Urgent Issues

Blockers and urgent issues are inevitable on any project. The key is surfacing them early so they can be resolved before they affect your timeline.
When you hit a blocker or need to escalate something urgently, send an email with “Urgent:” at the start of the subject line and include three things: (1) a one-sentence description of the issue, (2) what you’ve already tried or considered, and (3) the deadline or event that makes this time-sensitive. This format allows the issue to be understood and acted on immediately — no back-and-forth needed to diagnose the situation.
